The information we collect
Our viewing enquiry form asks for your first name, last name and email address. Providing a telephone number is optional. We also keep the information you provide in correspondence about your enquiry. Website hosting and security services may process technical information, such as your IP address and browser details, to operate and protect the website.
How we use your information
We use your contact information to respond to your enquiry, provide information about available homes and arrange or manage a viewing. Where this involves steps you ask us to take before entering into a property transaction, we rely on taking steps at your request before entering a contract. For other enquiry administration and website security, we rely on our legitimate interests in answering enquiries, maintaining appropriate records and operating a secure website.
Submitting a viewing enquiry does not subscribe you to a newsletter. Any separate electronic marketing will be handled in accordance with the applicable marketing rules and your communication preferences.
Who receives your information
New campaign enquiry email notifications are sent to info@stjohnssquare.co.uk. They are not copied to Bernards.
Your information may also be processed by authorised members of the sales team and service providers supporting website administration, hosting, business email and email delivery. These include our marketing agency, Manifesto, and our email delivery service, Postmark. Website enquiry records are also held within the website’s form system. We do not sell your personal information.
If a service provider processes information outside the UK, appropriate protections are required, such as applicable adequacy arrangements or contractual safeguards. You can contact us for information about the arrangements applicable to your enquiry.
How long we keep information
We keep enquiry contact details for up to four years after your first enquiry. Correspondence may be retained for up to seven years where needed to maintain a record of our dealings, address queries or resolve disputes. Records are reviewed and should not be retained for longer than needed for their purpose.
Your rights
Depending on the circumstances, you have rights to access your personal information, correct inaccurate information, request deletion or restriction, and receive information in a portable form.
You have the right to object to processing based on our legitimate interests, including any direct marketing. Where we rely on consent, you can withdraw it at any time. This does not affect processing carried out before withdrawal.
Contact info@stjohnssquare.co.uk to exercise your rights. We may request proportionate information to verify your identity where necessary. We will respond in accordance with applicable data protection requirements.
You can raise concerns with us or complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint.
Cookies and advertising measurement
The website may use necessary technologies to operate securely and provide the features you request. Advertising measurement, where enabled, helps us understand whether advertisements lead to enquiries. Optional advertising technologies should operate according to your cookie choices. Any consent controls and information about specific advertising services must reflect the services actually enabled on this website.
